As a property owner you always want to ensure that your investment is maintained. Problems can frequently arise when Tenants vacate the premises and damage has occurred. Documenting the precise condition of your rental at the onset of the tenancy is important. Should you be required to use part of the security deposit to correct damage, an argument could arise. This Premises Move-In/Move-Out Checklist alleviates this problem by giving both you and your tenant a tool to assess the condition of the premises at the beginning, as well as the end of the rental term.

Documenting your dealings with your tenants always makes good business sense and is important should a matter end up in court. Some states have laws that require all premises be inspected prior to a new tenancy. If this is not required in your state, it is still good business practice to document the condition of the premises. This convenient form serves as proof that an inspection took place and serves as a record of the condition of the premises at the beginning of the rental term.

This Premises Move-In/Move-Out Checklist covers:
  • Appliances
  • Carpeting and Drapes
  • Walls
  • Fireplace
  • Yard

Instructions and Checklist
Premises Move-In / Move-Out Inspection Checklist

Some states require the Landlord and Tenant to conduct an inspection of the premises to be rented, before physical occupancy by the Tenant or before the lease is signed. Even if a state does not require a joint inspection, it is always a good idea to do one.

The Landlord and the Tenant(s) should conduct a joint “move-in” inspection before the beginning of the lease or just before the premises are occupied.

The Landlord and the Tenant(s) should conduct a joint “move-out” inspection immediately before or immediately after the tenant(s) move out of the premises.

The Landlord and the Tenant should sign the inspection checklist form in the appropriate box immediately after each of the move-in and move-out inspections are completed.

The Landlord should provide the Tenant and copy of the signed Inspection checklist after each inspection.

Laws vary from time to time and from state to state. These forms are not intended and are not a substitute for legal advice. These forms should only be a starting point for you and should not be used or signed without consulting an attorney first to make sure it fits your particular situation. An Attorney should be consulted before negotiating any document with another party.

General Information
Premises Move-In / Move-Out Inspection Checklist

Whenever a Tenant moves in or moves out of any rented/leased residential premises, the Landlord and the Tenant(s) should conduct a joint inspection of the premises. This will allow the Landlord and the Tenant(s) to determine if any part of the premises were damaged before the start of occupancy or during the term of the lease. A Premises Move-In / Move-Out Inspection Checklist form is useful to document the inspection and can help avoid problems at the end of the lease. This Inspection Checklist can also help the Landlord justify any security deposit deductions, if warranted.

Some states actually require that the Landlord and Tenant conduct an inspection of the premises to be rented, before physical occupancy by the tenant or before the lease is signed. Even if a state does not require a joint inspection, it is always a good idea to conduct one and to use and complete a Premises Move-In / Move-Out Inspection Checklist out.
